Volunteers needed

The PTFA cannot survive without the generous contributions that our volunteers make in terms of their time and expertise.

We are currently looking for volunteers to help with the following:

 Cash counting after the Christmas Bazaar (from 5.30pm, Friday 2nd December): Please contact Karine Sapin, Treasurer if you can help

Supervising Children's Disco parties, Friday 9 December

The PTFA runs after school Christmas parties for children in Years 1 to 6.  This year the parties will be held on Friday 9 December.  We need parents from each class to help to supervise the children - dads especially welcome!  Contact your class rep if you are able to help. Timings are:

Years 1 and 2: 3.45- 4.45pm

Years 3 and 4:  6.00- 7.15pm

Years 5 and 6:  7.30 - 8.45pm

Summer Fete Team: to organise and run this event next June. Please contact Claire nicholls or Jennifer Bath for more information.

 Use of Class Lists

We need to remind everyone that the class lists are for passing on PTFA news and events and for the organisation of events relating to your children (ie play dates/parties, class social events). They should not be used for the promotion or advertising of businesses either personal or otherwise. When people sign up to class lists the PTFA gives them our assurance that these lists are private and will only be used for school related news and events and not for the purpose of advertising.

Guidelines for Class Reps (updated for 2011/12)

The main functions of the class reps are as follows:

 

To act as representative for your class at PTFA meetings (one per half term).  You can arrange for someone else to go, of course, but someone from each class should attend every PTFA meeting.

 

To prepare and keep up-to-date class contact lists (these should be prepared and distributed according to the guidelines enclosed). The PTFA does not hold a copy of class lists, so there is no need to send a copy to the PTFA, but reps do need to ensure their own class lists are up to date.

 

Any correspondence that you send out to your class can be distributed via the office. All letters sent on behalf of the PTFA must use the PTFA letterhead which is available from the Chairs or the Secretary.

 

To welcome new parents/carers.

 

To act as liaison between the class teacher and parents/carers of that class (for example, you might find out what sort of help/contribution in the classroom the teacher would appreciate from parents/carers and pass that on). Please note that Class Reps should avoid becoming involved in discussions relating to individual children or educational matters.

 

To email parents with updates, minutes, reminders and letters which may be of interest to them, especially those parents who work.

 

To encourage parents/carers to take an active role in the PTFA – informing them of meetings, canvassing for opinions, encouraging volunteering for events.

 

It is usual to arrange some social events for the class, perhaps two per term.  These might take the form of a coffee morning, drinks evening or evening out at a bar or restaurant.

 

To volunteer and co-ordinate support for fundraising at major events, e.g. the Christmas Bazaar and the Summer Fete, where each class is assigned a stall.

 

Class reps are encouraged to organise a fund-raising event for their class or year group. This can be as small or as big as you like such as a clothes/craft/food sale to a cookbook/film/drinks night. Your idea can be sold to your class, the year, the Infant and/or the Junior School.

 

Year 5 and 6 reps are responsible for organising the year 5 and 6 quiz night.

 

Year 6 reps are responsible for organising and getting sponsorship for the programme of the Summer Show.

 

Year 6 reps are also responsible for the Leavers’ Party (summer term).

 

Finally, it is usual for the class reps to organise a collection for the teacher (and classroom assistant if appropriate) at the end of the Summer Term.
